Privacy Policy

Competition Hub is committed to protecting your personal information in line with the New Zealand Privacy Act 2020. This Privacy Policy explains what information we collect when you use Competition Hub, why we collect it, how it is stored and protected, and the rights you have over it.

Information We Collect

When you create a Profile or submit a Registration, we collect information such as your name, email address, phone number, date of birth, gender, and shirt size. If you register for a Division that requires it, we also collect a profile photo. We only collect the information needed to run the Competition you are registering for.

Competition Information

We store the Competitions, Divisions, and Heats you register into, along with your Registration status, check-in status, and any scores recorded against you by a Judge. This information is used to run the event and is displayed publicly on pages such as Leaderboards, where your name and score may be visible to other users of the site.

Team Information

For team-based Divisions, we store the team name and the roster of team members, including names and contact details submitted by the Team Captain on behalf of teammates who have not yet created their own Profile. Each invited teammate is asked to confirm and, where needed, correct their own details when they accept their invitation.

Emergency Contacts

We collect an emergency contact name and phone number for each athlete. This information is used only for safety purposes at the event — for example, if event staff need to contact someone on your behalf in the case of an injury — and is not used for marketing or shared with other athletes.

Payment Processing

Where a Competition has a registration fee, payment is processed by Stripe, our third-party payment processor. Competition Hub never stores your full card number, expiry date, or CVC — these are entered directly into Stripe's secure checkout and are not accessible to Competition Hub or the event organiser. We retain a record of the payment status, amount, and currency of your Registration for accounting and support purposes.

Cookies

Competition Hub uses a small number of cookies to keep you signed in and to remember your session while you move between pages such as Events, Registration, and your Team Dashboard. For full details of the cookies we use, see our Cookie Policy.

Analytics

We may use basic, privacy-respecting analytics to understand how Competition Hub is used — for example, which pages are visited most often — so we can improve the platform. This data is used in aggregate and is not used to build individual profiles of your browsing behaviour outside of Competition Hub.

Data Storage

Your information is stored on secure, access-controlled infrastructure provided by our hosting and platform providers. Access to Registration data within Competition Hub is limited to event organisers and the roles they need to run their event, such as Judges and Volunteers with check-in access.

Data Retention

We retain Registration, Competition, and Score data for as long as needed to run the event, resolve any disputes or support queries, and meet our accounting and legal obligations. Where data is no longer needed for these purposes, it may be removed or de-identified.

Security

We apply reasonable technical and organisational measures to protect your personal information against unauthorised access, loss, or misuse, including restricting who can delete or modify Registration records and logging changes made by administrators.

Third-Party Providers

We use a small number of trusted third-party providers to operate Competition Hub, including Stripe for payment processing and our application hosting provider for storing and running the platform. These providers only receive the information needed to perform their function and are not permitted to use it for their own marketing purposes.

Your Rights

Under the Privacy Act 2020, you have the right to ask what personal information we hold about you, to request a correction if it is wrong, and to ask us to delete information we no longer need to hold. You can update most of your own details at any time from your Profile. For anything you cannot update yourself, contact us using the details below.
