Refund & Cancellation Policy

Version: 1.0  ·  Last updated: 20 July 2026

This policy explains how withdrawals, cancellations, and refunds are handled for Competitions run on Competition Hub. It applies alongside our Terms of Service. Specific refund windows and fees may also be set by the individual event organiser and shown on the Event page — where an event's own published policy is more specific than this page, the event's policy applies.

Team Withdrawals

If a full team needs to withdraw from a Competition, the Team Captain should contact the event organiser as early as possible using the details on the Contact & Support page. Refund eligibility for team withdrawals depends on how far in advance of the event the withdrawal is received, as set out in the event's published withdrawal window.

Individual Withdrawals

Where a Division allows individual registrations, the same withdrawal windows apply as for team withdrawals. An individual withdrawing from a team should also notify their Team Captain so the roster can be updated and, where the Division allows it, a replacement athlete can be added.

Event Cancellation

If an event organiser cancels a Competition entirely, registered athletes and teams will be notified using the contact details on their Registration, and paid registration fees are refunded in full unless the event communicates an alternative arrangement, such as a credit towards a future event.

Event Postponement

If a Competition is postponed to a new date rather than cancelled, your Registration automatically carries over to the new date. If you are unable to attend the rescheduled date, you may request a withdrawal under the Individual or Team Withdrawal terms above, based on the time remaining before the new event date.

Medical Withdrawals

Athletes who need to withdraw due to illness or injury should contact the event organiser as soon as possible. Some events offer a partial refund or credit for medical withdrawals supported by a medical certificate — this is at the discretion of the event organiser and will be confirmed on a case-by-case basis.

Force Majeure

Neither Competition Hub nor the event organiser is responsible for delays, changes, or cancellations caused by events outside their reasonable control, including extreme weather, natural disasters, civil emergencies, or venue unavailability. Where an event is affected by such circumstances, refunds will be handled in line with the Event Cancellation and Event Postponement sections above, where reasonably possible.

Duplicate Payments

If you believe you have been charged more than once for the same Registration, contact us at support@comphub.co.nz with your name and event details. Duplicate or accidental charges confirmed on our Stripe records are refunded in full.

Refund Processing

Approved refunds are processed back to the original payment method used at checkout. Refunds cannot be redirected to a different card, bank account, or person. Where a Registration is only partially refundable under an event's published policy, the non-refundable portion (if any) will be clearly communicated to you before the refund is processed.

Stripe Processing Times

Refunds are issued through Stripe, our payment processor. Once a refund is approved, it typically appears back on your card or bank statement within 5–10 business days, depending on your bank or card provider's own processing times. Competition Hub does not control how quickly your bank releases a refunded amount back to your account.
